Recording activity and course completions - This guide is for trainers with editing permissions, Managers and administrators

      For course completion reports to provide you with accurate data that match the program/certification report, the activities and overall course completion need to be marked complete within the course area. 

Recording the completion of the required activities will mark the course complete which in turn marks the program/certification complete. 

Although it seems time consuming to mark each activity, if you only mark the overall course as complete the activities will remain as 'Not complete'.  This in itself may not seem an issue but it means that we won't be able to identify when specific activities were completed should an issue arise.

The only time that a certification record won’t update automatically is when a learner completes a course before the completion window is open.  If this is the case you need to raise a support query to request for the certification record to be updated. 

Unless it can't be avoided, we would advise against learners completing courses before the 'Window is open' as it's a time consuming manual task to adjust the record.  The only time this should really happen is if it's a face-to-face/Zoom training session and there are no sessions arranged during the learners 'Window open' time.  All eModule type learning should be undertaken during the 'Window open' period.

Most activities are set up to be marked as complete automatically by actions from the learners but attendance for Zoom and face-to-face seminars needs to be marked by an administrator. 


The tasks this guide will support you with are:

  1. Recording completion of courses that don't have any activities for the learner to complete i.e. annual competency...
  2. Recording completion of activities

Sometimes the course may need to be marked complete (not activities) directly, this could be because activities are not listed in the LMS for example a learner may have to be observed doing a practical task.

To mark the course complete:

  1. Click on the 'Completion editor' link in the 'Administration' menu


You'll see a list of all the participants
  1. Enter the learners name in the search box


  1. Click on the search button

You should see the learner listed on the page



  1. Click on 'Edit course completion'

The page will show the program/certification that the course in part of along with all the activities that are part of the course completion.  

  1. Click on the 'Current completion' tab

  1. Change the completion status to 'Completed' from the drop-down menu

When the screen refreshes, you'll see a 'Time completed' field
  1. Click in the field and select the completion date from the calendar
  2. Click the 'Save changes' button



To record activities complete use the same instructions as for recording 'course completion' up to the point where you select a tab from the completion record page.  This time you'll need to click on the 'Criteria and activities tab.

The first section you will see is the ‘Course completion criteria’.  All the activities that are required to be completed to complete the course are listed here. 

  1. To record an activity as 'complete' click on the ‘cog’ in the ‘Edit’ column
  2. Mark the ‘Activity status’ as ‘complete’ from the drop-down menu
When the screen refreshes, you’ll see an ‘Activity time completed’ field.  Click in the field and select the completion date from the calendar.
  1. Click on the 'Save changes' button


Activities completed that aren’t part of the required course completion can be marked complete by scrolling down the page to the ‘Activity completion’ section and follow the same steps as above.
